In short
We collect the details needed to move your cargo and run our business.
About this policy
This policy explains what personal information Naveed Asghar Shipping Services LLC collects when you request a quotation, book a shipment, track a consignment or use our website, and what we do with it.
- It applies to our website, the Client Portal, our shipment tracking pages and the communication you have with our operations team.
- It forms part of our Terms and Conditions of Carriage and should be read alongside them.
- We handle personal data in line with the applicable data protection law of the United Arab Emirates, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data.
Who we are
Naveed Asghar Shipping Services LLC is a road freight and truck cargo company licensed in Dubai, United Arab Emirates, and is the controller of the personal data described in this policy.
- Our registered office is Art Tower Raffa 1, Office 110, Bur Dubai, Dubai, United Arab Emirates.
- For any question about this policy or about your personal data, contact us at info@naveedasgharshipping.com or on +971 56 378 0899.
- Please mark privacy requests for the attention of our data protection contact so that they reach the right person quickly.
Information we collect
We collect only the information we need to quote, carry and deliver your cargo and to run our business properly.
- Contact and account details such as your name, company, job title, email address, telephone number and billing address.
- Shipment information including collection and delivery addresses, contact names at each end, cargo description, weight, container and vehicle references, BOE and tracking numbers and delivery instructions.
- Delivery records such as proof of delivery notes, signatures, delivery photographs and any exception noted by the driver.
- Account credentials for the Client Portal, including your login identifier and one-time passcodes used to verify you.
- Vehicle and route data generated by GPS units fitted to our fleet, which relate to our vehicles and drivers rather than to you.
- Correspondence including emails, messages and notes of calls with our operations team.
- Technical information such as your IP address, browser type and the pages you view, collected automatically when you use the website.
Where the information comes from
Most of the information we hold comes directly from you.
- You provide it when you request a quotation, confirm a booking, open an account, use the Client Portal or contact our team.
- Some information is generated by us during the movement, such as tracking references, status updates and proof of delivery records.
- Some information reaches us from third parties, such as a consignee confirming delivery details, a customs broker, or a partner carrier engaged for part of a route.
How we use your information
We use personal information for clearly defined operational purposes.
- To prepare quotations and confirm bookings, and to plan the vehicle, route and schedule for your consignment.
- To carry out the movement, including collection, transit, site access formalities and delivery to the consignee.
- To keep you updated, provide live status through tracking references and the Client Portal, and issue proof of delivery.
- To invoice you, collect payment and maintain our accounting records.
- To handle claims, insurance matters and disputes relating to a consignment.
- To meet legal, customs, tax and regulatory obligations that apply to a licensed transport operator.
- To improve our service, review operational performance and keep our systems secure.
Our grounds for using it
We rely on the following grounds when we handle personal data.
- Performance of a contract where the information is needed to quote for, carry or invoice a consignment.
- Legal obligation where we must keep records or share information with customs, tax or other competent authorities.
- Legitimate interests in running, securing and improving a transport business, provided your rights are not overridden.
- Consent where we ask for it separately, which you may withdraw at any time without affecting shipments already booked.
Cookies and website storage
Our website is deliberately light on tracking technology.
- We store your language preference in your browser local storage so the site opens in English or Arabic as you left it. This stays on your device and is not sent to us.
- Client Portal sessions use strictly necessary cookies to keep you signed in securely. Without them the portal cannot work.
- We do not use advertising cookies and we do not sell or share your browsing activity with advertising networks.
- You can clear or block storage through your browser settings, though this may reset your language choice and sign you out of the portal.
Shipment tracking and visibility
Anyone holding a valid tracking reference or BOE number can view the status of that consignment without signing in.
- This is deliberate, so that your customer or consignee can check progress without needing an account.
- The tracking view shows shipment status, route and milestone dates. Please share tracking references only with parties who should see them.
- Full commercial detail, invoices and delivery history are available only inside the Client Portal, behind account login.
Client Portal accounts
Portal access is provided to account holders and their authorised representatives.
- Login is verified with a one-time passcode sent to the registered contact, and credentials are personal to the user they are issued to.
- You are responsible for keeping portal credentials confidential and for telling us promptly if you believe an account has been compromised or a user has left your company.
- We log portal activity such as sign-ins and document downloads for security and audit purposes.
Who we share information with
We share personal information only where it is needed to carry your cargo or where the law requires it.
- With our drivers and operations staff, who receive the collection, delivery and contact details needed to complete the movement.
- With customs authorities, port and free zone operators and other government bodies where this is required for a movement or by law.
- With insurers, loss adjusters and legal advisers where a claim or dispute arises on a consignment.
- With a partner carrier where part of a route requires a vehicle we do not operate, and only after telling you.
- With service providers who support our systems, hosting, communications and accounting, under confidentiality obligations.
- We do not sell personal information and we do not share it for third-party marketing.
Where your information is held
Our operations and the systems that support them are based in the United Arab Emirates.
- Shipment and account records are processed and stored in the UAE, and we do not routinely transfer client information outside the country.
- Where a service provider we use processes data outside the UAE, that transfer is limited to what the service requires and is made in line with applicable UAE law.
How long we keep information
We keep personal information for as long as it is needed for the purpose it was collected for, and then for any period required by law.
- Shipment and delivery records, including proof of delivery, are retained to evidence the carriage and to support any claim.
- Invoices and accounting records are retained for the period required by UAE tax and commercial law.
- Account and portal records are retained while the account is active and for a reasonable period afterwards.
- When information is no longer needed it is deleted or anonymised.
Keeping information secure
We take reasonable technical and organisational measures to protect personal information against loss, misuse and unauthorised access.
- Access to shipment and account records is limited to staff who need it to do their job.
- Portal access is protected by one-time passcode verification and activity logging.
- No system can be guaranteed completely secure. If a breach occurs that affects your personal data, we will act on it and notify you and the competent authority where the law requires.
Your rights
Subject to applicable UAE law, you have the following rights over your personal information.
- To ask what personal data we hold about you and to receive a copy of it.
- To have inaccurate or incomplete information corrected.
- To ask us to delete information where we no longer have a lawful reason to keep it.
- To object to or ask us to restrict certain uses of your information.
- To withdraw consent where our use of the information is based on consent.
- To complain to the competent data protection authority in the United Arab Emirates if you are not satisfied with how we have handled your request.
- We will respond to a request within the period required by applicable law and may ask you to verify your identity first.
Job applicants
If you apply for a role with us, we process the information contained in your application.
- This includes your CV, contact details, work history, licences and any information you choose to include.
- Applications sent to careers@naveedasgharshipping.com are used to assess your suitability for the role and are shared internally only with those involved in hiring.
- Unsuccessful applications are kept for a reasonable period in case a suitable role arises, unless you ask us to delete them.
Children
Our services are provided to businesses and are not directed at children.
- We do not knowingly collect personal information from anyone under the age of 18.
- If you believe a child has provided us with personal information, contact us and we will delete it.
Changes to this policy
We may update this policy as our services, systems or legal obligations change.
- The version published on this page is the current version, and the effective date is shown at the top.
- Where a change materially affects how we use your personal data, we will make that clear rather than rely on you noticing the date.
These terms are published in English and Arabic.
